What does your AI assistant need to know?

The model is not the problem. It has never seen how you actually work, and nobody told it.

It cannot guess your specifics

A general model knows how businesses work in general. It does not know that you do not take jobs past a certain distance, that one supplier always runs late, or that you never quote on the phone. Every one of those is invisible to it until it is written down somewhere it can read.

The four things worth writing down first

What you sell and what you deliberately do not. How you talk to customers, with two or three real examples. The questions you get asked constantly, with your actual answers. And the decisions that must always come back to a person.

Written for a reader, not stored in a folder

Scattered files are the usual state and the usual problem. The point is not to have the documents, it is to have them in one place, current, and phrased as answers rather than as internal shorthand. If a new hire could not follow it on their first day, an assistant will not either.

The last one matters most

Naming the decisions that stay human is what stops a helpful tool making a call it had no business making. Write that list before you turn anything on, not after something goes out that should not have.

Scope, voice, real answers, and the decisions that stay yours. Write those four down and most disappointing results fix themselves.
